If you fill in the form on our contact page your contact information is sent to the membership secretary so that they can email you the information you have asked for. We keep this information for a year so that we have a record of the level of interest in the club.

If you choose to come to a trial session and fill in the personal details form, this is accessible to our coaches. This is important for your safety in training sessions, so that our coaches can access emergency contact details and are aware of any medical conditions that might be important. If a coach no longer coaches for the club, they no longer have access to this information.

We keep an up to date list of current members which is limited to: name, contact email, date your membership ends and email preference. Your personal details are held securely, with only a small number of people able to access them. Personal information is only used for the purpose it was collected i.e. to allow us to run the club effectively and provide a good service to members. We will only contact you if we need to discuss your membership, or wish to let you know the club news.
We only hold your personal information for as long as is necessary, and this is limited to what the club needs. If you leave the club we will delete your personal information. This means that if you leave the club and then rejoin you might be asked to fill it in again.
If you are a member of the club, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
The club uses a mixture of google docs and myClubhouse to manage user data.
All emails sent by the system contain a tracking pixel. This is used to track whether each email has been opened by the recipient, and when. This information can be viewed by those users of the system with permission to view email delivery reports. We do not display any information regarding the location of the recipient. Note that the tracking pixel is only activated if the recipient chooses to download images into their email client.
We, Willesden Triathlon Club, make use of the myClubhouse software supplied by Simmetrics Ltd to process personal data we include on our myClubhouse website in accordance with our privacy policy set out above. Simmetrics Ltd processes your personal data on our behalf and they can only do so in accordance with our written instructions. Note: Emails sent via the website are not entirely private. A copy of every email is held on the database and this can be accessed by certain club administrators using the Sent Emails page.
